2. Our Role When Processing Data

Under Malaysian data-protection practice, a “data controller” decides why and how personal data is processed. A “data processor” processes personal data on behalf of a controller, according to that controller’s instructions and applicable law.

CleanMoo generally determines how and why it processes information such as:

Passport-specific purpose

Passport documents and passport information are processed only for identity-verification and operational purposes selected by the customer, including preparing or sending appointment reminders and providing the required worker-identification information to designated condominium, building or property-management recipients.

CleanMoo must not use maid or cleaner passport information for advertising, profiling or unrelated marketing.

6. Passport Documents and Condominium Management

Some condominium or building-management bodies require cleaning companies to provide cleaner or maid identification documents before allowing entry or approving a work appointment.

At the customer administrator’s instruction, CleanMoo may send or make available appointment information together with a passport document or selected passport information to a recipient designated by the customer, through the communication method selected or configured by the customer.

The customer is responsible for:

  • Confirming that the passport holder has been informed
  • Obtaining any consent or authorisation required
  • Confirming that the upload and disclosure are legally permitted
  • Selecting the correct authorised recipient
  • Ensuring the information is required for the stated purpose
  • Avoiding the upload of unnecessary passport pages
  • Checking that the information is accurate and current
  • Removing information when it is no longer required
  • Following employment, immigration, building-management and data-protection obligations

CleanMoo does not independently decide which condominium management body should receive a passport. The customer selects and authorises the recipient.

CleanMoo does not guarantee that any building access, appointment or work-permit application will be approved.

7. When Personal Data May Be Disclosed

Personal data may be disclosed to:

  • Authorised users within the customer’s CleanMoo workspace
  • Condominium, building or property-management recipients selected by the customer
  • Cloud-hosting and database providers
  • Authentication providers
  • Email, SMS, WhatsApp or communication providers
  • Payment-gateway providers
  • Analytics and error-monitoring providers
  • Professional advisers
  • Regulators, law-enforcement bodies or courts where legally required
  • A buyer or successor in a legitimate business transfer

Named service providers are listed only when confirmed in CleanMoo’s operational configuration. If no provider table is published, that means specific providers have not yet been finalised for public disclosure.

8. International Data Transfers

Some hosting, communication, analytics or support providers may process information outside Malaysia.

CleanMoo will take reasonable steps to use appropriate contractual, organisational and security safeguards where personal data is transferred internationally.

9. Security

CleanMoo applies reasonable technical and organisational measures appropriate to the nature of the information processed.

Depending on the features in use and the environment in which CleanMoo is deployed, measures may include access controls, role-based permissions, authentication controls, secure transport, private file storage where available, audit logging, backup controls, confidentiality obligations for staff or contractors, and monitoring for suspicious activity.

No online system can guarantee absolute security.

10. Data Retention

CleanMoo retains personal data only for as long as necessary to provide the service, follow customer instructions, maintain legitimate business records, resolve disputes and comply with applicable laws.

Customer-controlled records may remain within the customer workspace until deleted by an authorised customer user, the account is terminated or the applicable retention process is completed.

Passport documents should not be retained longer than necessary for the relevant appointment, access-registration, work-permit or record-keeping purpose.

Retention may also be affected by customer configuration, contractual instructions, backup cycles, dispute or security investigations, and legal record-keeping requirements.

11. Customer Responsibilities

Customer organisations must:

  • Provide appropriate privacy notices to workers and customers
  • Obtain required consent or authorisation
  • Use personal data only for legitimate business purposes
  • Restrict staff access
  • Protect account credentials
  • Keep information accurate
  • Remove unnecessary information
  • Respond to requests from their data subjects
  • Inform CleanMoo of relevant data incidents
  • Avoid uploading illegal, excessive or unrelated information

12. Individual Rights

Subject to applicable law and the relevant processing relationship, an individual may request:

For information controlled by a CleanMoo customer, the request should normally be directed to that customer organisation. CleanMoo may assist the customer in responding.

Not every request will result in immediate deletion. Legal, contractual, security or backup requirements may limit what can be removed or changed.

13. Data Breaches

CleanMoo maintains procedures for assessing and responding to suspected personal-data breaches.

Where required, CleanMoo will cooperate with affected customer organisations and make applicable notifications to the relevant parties or authorities.

Customers must notify CleanMoo promptly if they become aware of unauthorised account access, incorrect passport disclosure, messages sent to the wrong condominium recipient, lost or exposed documents, compromised passwords, or other suspected misuse.

14. Cookies and Analytics

The CleanMoo marketing website is a static site. At the time of this policy, it does not load third-party analytics or advertising cookies.

The browser may store limited technical information needed for normal website operation. If analytics, advertising or other non-essential cookies are introduced later, this section will be updated and an appropriate consent or preference control will be provided where required.

15. Children

CleanMoo is intended for business users and is not designed for children.

Users must not knowingly upload children’s personal data unless it is lawful, necessary and authorised for a legitimate business purpose.

16. Changes to the Privacy Policy
